Field Service Management
Your field technicians can't bill what they can't find
Parts disappear between job sites. Hours go unbilled because someone forgot to log them. Warranty claims sit in limbo because no one knows which serial number goes with which customer. The field service operation that was supposed to be a profit center is bleeding money in ways you can’t even track yet.
Core Capabilities
Field service that actually connects to the business
From receiving to cycle counts to reorder automation, Rover is built for manufacturers who need accuracy and speed.
Field Inventory Control
Track repair stock, replacement parts, and loaned equipment across every field location you define. Your field inventory moves fast, so your system needs to move faster.
Multi-Location Field Inventory
Define field locations (trucks, depots, customer sites) and track inventory status in each. Parts in repair stock, ready for deployment, or on loan all show up where they actually are.
Loaned Parts Tracking
When you loan a part to a customer while theirs is being repaired, the system tracks it. You know who has it, where it came from, and when it’s due back.
Real-Time Inventory Status
Up-to-the-minute visibility across all locations. If a part is in a technician’s truck, it’s not available for a different job. The system knows this.
Automated Replenishment Alerts
When field inventory drops below defined levels, the system triggers replenishment. No more emergency orders because someone forgot to check stock.
Service Order & Dispatch
Create service orders for reactive calls or schedule preventive maintenance based on equipment cycles. Every order captures the full context: which equipment, which customer, what needs to be done.
Service Order Creation
Generate field service orders from customer calls, sales orders, or automated maintenance schedules. All customer history and equipment details are immediately available.
Preventive Maintenance Scheduling
Set up maintenance cycles based on hours, cycles, or calendar time. The system generates service orders automatically when maintenance is due.
Serial Number & Equipment History
Complete tracking of every serial-controlled part. View full service history, warranty status, and previous issues for any piece of equipment.
Customer Activity Log
Every interaction, every service call, every part used gets logged against the customer record. You can see the full relationship at a glance.
Time, Labor & Materials Capture
Record billable hours, parts used, and miscellaneous charges directly on the service order. Everything flows automatically to job costing and invoicing.
Labor Time Tracking
Capture billable hours, travel time, and non-billable diagnostics separately. You know exactly what should be invoiced and what shouldn’t.
Parts Usage Recording
Log parts used on the job. Inventory decrements automatically, and the customer’s invoice includes the exact parts consumed.
Miscellaneous Charges
Add mileage, emergency call fees, or other charges right on the service order. No separate manual entry needed.
Automatic Cost Posting
Labor, parts, and overhead post to the job cost module in real time. You see true service profitability as it happens.
Warranty Management & Billing
Track separate warranties for parts, labor, and travel. Generate invoices automatically for billable work, or flag warranty claims for internal tracking.
Multi-Tier Warranty Tracking
Separate warranty periods and terms for parts, labor, and travel. The system knows what’s covered and what’s billable.
Automatic Invoice Generation
Billable service orders post directly to accounts receivable. No manual invoice creation. Revenue recognition happens immediately.
Warranty Claim Documentation
For warranty work, capture failure codes, diagnostics, and parts replaced. Full audit trail for any manufacturer warranty claims you need to file.
Failure Code Analysis
User-defined failure codes let you track trends. If the same part keeps failing, you’ll see it in the data.
The Real Cost
Field service shouldn't be where revenue goes to die
Most manufacturers treat field service as an afterthought until they realize how much money is walking out the door. Parts that “go missing” between locations. Service hours performed but never invoiced. Preventive maintenance contracts that expire because no one scheduled the visit. Emergency orders placed because the field inventory wasn’t actually where the system said it was.
The real problem isn’t the technicians. It’s that field operations exist in a different universe from the rest of your ERP. Finance doesn’t see the costs until month-end. Sales doesn’t know which customers are being served. Inventory doesn’t know what’s sitting in a truck versus what’s in the warehouse. Every disconnect costs you money.
Unbilled Service Work
Hours and parts used but never invoiced because the paperwork didn’t make it back to accounting.
Lost Field Inventory
Parts that exist in the system but can’t be found. Or exist physically but aren’t in the system.
Missed Service Windows
Preventive maintenance that should have been scheduled but wasn’t, turning into emergency calls.

FAQS
Your questions answered
Can Rover Field Service work if we only have a few technicians right now?
Absolutely. The system is built to scale with your operation. You can start with one or two field technicians and a single service vehicle, then expand to ten technicians and multiple depot locations without re-implementation. The same platform works whether you’re doing 10 service calls a month or 1,000.
How does field inventory stay accurate when parts are constantly moving between locations?
Every part movement is tracked in real time. When a technician transfers parts from the warehouse to their truck, from truck to customer site, or logs a loaned part, the entire system updates instantly. There’s no reconciliation lag because field inventory and warehouse inventory are in the same database, not separate systems trying to sync.
Do we need separate software for dispatching and scheduling preventive maintenance?
No. Preventive maintenance scheduling is built into Rover Field Service. You define maintenance cycles based on equipment hours, calendar time, or usage patterns, and the system automatically generates service orders when maintenance is due. It’s all in one platform with your field operations, inventory, and billing.
How long does it take to get the Field Service module operational?
Most Field Service implementations are fully live within 45 days of your broader ERP rollout. Our team helps you define field locations, configure warranty tracking and billing rules, migrate service history data, and train your technicians. No dedicated IT staff required.
What happens to billable hours and parts if a technician forgets to log them immediately?
Everything is captured on the field service order, which stays open until the job is complete. Technicians can log time and materials at the customer site or back at the depot. Once the service order is closed, billing happens automatically. The key difference is that unbilled work shows up immediately in open service orders, so nothing falls through the cracks waiting for paperwork to make it back to accounting.
